Attendance Policy
The various schools establish their own regulations regarding class attendance. Officially documented explanations for absences for such causes as illness, field trips or varsity athletic competition may be helpful in assessing reasons for absences but are not considered to be excuses from assigned work.
Certifications of Enrollment
Enrollment certifications are official statements by the Office of the University
Registrar verifying a student's enrollment for a particular term. Requests for enrollment
certifications should be submitted at 151 Strong Hall. They can also be mailed to 1450 Jayhawk Blvd, 151 Strong Hall, Lawrence, KS 66045, or faxed to (785) 864-5230. A form to apply for
certification is available at:
www.registrar.ku.edu/pdf/certapp.pdf.
- Current Students: If you are a current student or a parent or guardian of a
current student there is no fee.
- Former Students: Certifications of Enrollment will not be provided for former students with financial and other obligations to the University. There is a $3.00 charge per copy for certification of enrollment.
- Priority Service: There is a $15.00 charge per copy for priority processing of certification of enrollment, regardless of enrollment status (no same day pickup after 3:00 p.m.).
- Third Party requests: Please go to www.studentclearinghouse.org. You may also call them at (703) 742-4200, fax them at (703) 742-4239, e-mail them at service@studentclearinghouse.org, or
mail them at: National Student Clearinghouse; 13454 Sunrise Valley Drive, Suite 300, Herndon, VA 21071.
Conflict Management
Attempts to resolve disputes with an instructor, staff person, or a university unit sometimes requires assistance. The University Ombuds Office
listens confidentially
and impartially, and provides informal assistance in working through a problem.
An ombuds also facilitates communication with others when necessary.
Phone (785) 864-7261 to schedule an appointment or e-mail,
ombuds28@ku.edu.
Courses Numbered 800 and 900 For Undergraduate Credit
Well-qualified, undergraduate students may be permitted to enroll in 800- or 900-level courses for undergraduate credit with the approval of the instructor, the student's advisor and the Graduate Division (CLAS students: See below). The student must take a course selection form, a letter of explanation and recommendation from the advisor, and current academic record to the Graduate Division for approval. If approved, the Graduate Division Office will prepare and sign a Special Permission/Approval form which the student must present to the staff in Enrollment Services in order to enroll in the courses.
CLAS Students: CLAS Undergraduate Services and the Graduate School grant approval, rather than the advisor and graduate division.
Credit By Exam
Applications are available in the Office of the University Registrar. They must be approved
by the instructor and the chair of the department concerned and by the student's dean or dean's
representative. A report of the examination taken, showing the hours of credit to be granted and
the grade awarded, must be signed by the professor giving the examination, the chair of the department
awarding credit, and the dean or dean's representative of the student's school or college at the
time of application.
At the discretion of each academic dean, grades of A, B, C, or D may be used to indicate degrees
of achievement, or a grade of Credit may indicate satisfactory performance. No record is made
of an unsatisfactory attempt. (Credit by Examination grades are not included in the grade-point
average that appears on the official transcript). Some medical, law, and graduate schools do not
accept credit by examination. A fee of $50.00 is charged for each course. The fee is assessed and
due at the time the exam is requested. The fee is non-refundable.
Credit by Exam Policy in Faculty Senate Rules & Regulations
4.4.1 Credit may be granted to a student for work done by private study, or in occupational
or technical experience, by passing an examination or by submitting evidence that the studies
pursued or the skills acquired are equivalent to but not necessarily the same as those acquired
in courses offered at the University of Kansas.
4.4.2 An application for such an examination may be obtained from the University Registrar and must
be approved by the Dean of the College or the school and the chairman of the department concerned.
A report of the examination taken, showing the hours of credit to be granted and the grade awarded,
shall be signed by the professor giving the examination, the chairperson of the department and the
Dean of the College or school and forwarded to the University Registrar for evaluation and for
recording on the permanent record.
4.4.3 A request for credit which is not to be based on an examination must be
supported by extensive evidence of the work done and must be submitted to the department
concerned for evaluation. Each unit of credit which has the approval of the department
must be submitted to the Dean and the academic policies committee of the proper school
or the College for final approval of the amount of credit the student is to receive.
Information regarding the number of hours of credit to be granted and the grade to be
awarded shall be forwarded to the University Registrar for posting to the permanent record.
4.4.4 The grade to be awarded for satisfactory performance on examinations or other work evaluated
under the terms of this section will be determined by the department and the faculty member administering
the examination, in consultation. At their discretion, the grades of A, B, C, or D may be used to indicate
varying degrees of achievement, or the grade of + (credit by examination) may be used to indicate
satisfactory performance where no further differentiation is desired. No record shall be made of an
unsatisfactory attempt.
4.4.5 Examinations administered by recognized national testing organizations may be used to secure credit
at the University of Kansas. Each such examination must be submitted to the academic unit responsible for
instruction in subject matter within the purview of the examination. This unit (department, school, College, or area)
will determine whether the examination may be used for credit, the amount of credit to be allowed, the grading system
to be employed (within the policies established in Section 4.4.4), and the minimum score necessary to obtain such
credit. The transcript entry for each such award of credit shall identify the examination taken and, in addition
to the grade, will record the percentile rank or other performance index used by the organization that grades
the examination.
The following regulations shall govern the use of the College-Level Examination Program (CLEP)
of the College Entrance Examination Board in the institutions governed by the State Board of Regents.
The extent to which the program is utilized by any institution is a matter of institutional prerogative,
but credit awarded by an institution in conformity with this policy shall be transferable to all other
institutions in the state system.
Students who have taken CLEP examinations prior to enrollment must submit an official CLEP transcript.
The permanent academic record of the student shall indicate which credit was earned by CLEP examination.
Credit earned through standardized tests such as CLEP shall not be included in the computation of the
instructional base of Regent's institutions. One-half the credit hours earned through campus-developed
and administered tests may be included in the instructional base.
Graduate students are not eligible to elect the CR/NC option, even for undergraduate courses.
A student may elect to be graded on a scale of CR (credit) or NC (no credit) instead of on a scale of A, B, C, D, or F.
Students seeking the credit/no credit option in a semester-long course must register their choice in their
dean's office during the 21st through the 30th instructional days of the semester.
Retroactive application of the Credit/No Credit option after this deadline is not allowed.
(see credit/no credit page for dates).
In all eight-week courses, including summer session, students must choose credit/no credit
during the 11th through the 15th instructional day of class. In courses of other duration,
students must choose credit/no credit during the week that 40 percent of the class sessions
have been completed. In courses shorter than one week, students must choose credit/no credit
before the first class session.
The student shall not take this option in his or her declared major and shall have the choice of
only one option per semester. At the close of the option period, the student cannot alter
his or her option.
The grade of CR (credit) will be received for grades of A, B, and C. The grade of NC (no credit)
will be received for grades D and F.
The instructor will not be informed when a student has chosen this option, and will assign a conventional letter grade, which will then be converted by the University Registrar to CR or NC as appropriate.
Courses graded CR or NC will not count in computing grade point average. Courses graded CR will be included in the total hours counted toward graduation; courses graded NC will not count as hours earned.
To elect credit/no credit, pick up and turn in the Credit/No Credit Form. Lawrence campus students should get the forms from the
office of their school or college. Medical Center students should get forms from the Office of the Registrar. Off-campus students
can get them at their enrollment site, i.e., Edwards Campus, KU Public Management Center, etc. Bring your KUID with you. Enter the
correct class number for the course you are choosing.
Dance, Guide for Enrollment and Audition
BA Students in Dance do not have to audition for entry into the program.
Students wishing to pursue a BFA degree must pass an audition for admission.
Contact the Music and Dance Office, 460 Murphy Hall, or the Dance Division at 785-864-4264 for more information.

Grade Point Average (G.P.A.)
The G.P.A. is a quotient determined by dividing the number of grade points earned by the number of credit hours attempted and graded
A, B, C, D and F. The G.P.A., which will appear on the student's official transcript, will reflect only course work taken in residence at
the University of Kansas. This G.P.A. will exclude course work transferred from other institutions, generally undergraduate course
work taken in KU's Continuing Education Independent Study program, academic credits earned by examination and course work taken
while classified as a non-degree seeking student. Individual schools (e.g., School of Social Welfare, Business, Education, etc.) may calculate
G.P.A. for admission or advancement differently. Please consult with those schools for more information.
Repeated Courses - Courses may be repeated at the University of Kansas.
However, there are several conditions that apply. Complete information is available online
at: www.registrar.ku.edu/repeat or on paper by contacting the Office of the University
Registrar, Student Records Center, 151 Strong Hall, (785) 864-4423 or kuregistrar@ku.edu.
Grade Reports
Grade reports will be available on the
Enroll & Pay system at the end of each semester.
Questions concerning specific grades
should be directed to the instructor or department. Incomplete grades from previous
semesters, which have been completed, will not be included in the current semester
courses.
Grading System
Undergraduates should refer to the University Senate Rules and Regulations and the Undergraduate Catalog. Graduate Students should see the Graduate School Catalog. Law Students should refer to the Law School Catalog. Medical Students should refer to Guidelines for Medical Student Evaluation.
Graduate Credit
Three conditions must be met for a student to receive graduate credit for work
satisfactorily completed at the University of Kansas:
- The course must have been approved by the appropriate Graduate Division for the award
of graduate credit.
- The instructor must have gained appointment to the Graduate Faculty.
- The student must have gained admission to the Graduate School.
An exception to the condition above is that seniors who will complete the requirements for a baccalaureate degree in a given semester, and who have very strong academic records, may apply for contingent admission to the Graduate School and request permission of the appropriate graduate division (CLAS students see below) to co-enroll in the Graduate School for that final semester. Seniors requesting the privilege of co-enrollment must make formal application for admission to the Graduate School through the appropriate division. The student must get the course selection form dean stamped by the undergraduate division and a completed Special Permission/Approval form from the graduate division office for each graduate-credit course in which the student seeks to be enrolled.
The student must enroll for the graduate courses within their provisional graduate career and
their undergraduate courses within their undergraduate career.
CLAS Students: CLAS Undergraduate Services and the Graduate School grant approval, rather than the graduate division.

Special Students / School Code "OURU"
/ Non-degree
School "OURU" is intended to serve persons
who do not wish to earn a degree at KU and who wish to take
undergraduate courses of their own choosing. Students who
already have a degree will not be assigned school code "OURU".
They will be admitted as non-degree students and will follow
the school's regulations for non-degree students. The Office
of Admissions reserves the right to deny admission.
Conditions of Enrollment for school
Code "OURU" (special students/non-degree)
- Students are considered to be non-degree-seeking
undergraduate students and are eligible for fewer services
than degree-seeking students.
- College credit and grades will
be awarded and a transcript of course work completed will
be maintained.
- The maximum enrollment is 6 credit-hours
per term.
- Approval to enroll one term does
not imply approval will be given to enroll in future terms.
- Grades earned while enrolled with
OURU will not automatically be calculated into the
students' G.P.A. Some schools allow a petition process to
count these hours. See the dean's office for the policy.
- Non-degree seeking students are
not eligible for Veteran's Administration Educational Benefits.
Most non-degree seeking students are not eligible for federal
financial aid programs. For exceptions, contact the Office
of Student Financial Aid, (785) 864-4700.
- Non-degree seeking students are
not eligible to participate in New Student Orientation.
- Because the code OURU student
is considered to be non-degree seeking, academic advising
is not normally available.
- Eligibility to participate in Main
Enrollment is not automatic.
